Recreation Stays provides vacation rental and hospitality management services. Depending on the context, we may act as:
- Data Processor: When we collect guest information on behalf of a property owner through a third-party platform or guest portal, we do so under contract with that owner.
- Data Controller: When we collect data directly via our website or from property owners and other business contacts, we determine the purpose and means of processing.

We collect personal data from three primary sources: guests, property owners/clients, and website visitors.
A. From Guests
- Full name, contact details (email, phone)
- Payment and billing information
- Residential address history
- Government-issued ID or travel document photos
- Names and contact info of other guests in your party

- Approximate geolocation
- Data collected by smart devices (see Section 7)
B. From Clients/Owners

- Login credentials for our client dashboard
C. From Website and Digital Tools

To ensure guest safety, protect property assets, and comply with local regulations, certain homes include the following smart technology:
- Smart Locks: Installed at all properties to enable secure, keyless entry. Access is logged for security and operational purposes.
- Noise Monitoring Sensors: Some homes are equipped with non-recording decibel sensors (e.g., Minut) to detect excessive noise levels and prevent disturbances. These do not record audio or conversations.
- Exterior Security Cameras: Select homes may have outward-facing cameras at entry points or driveways. No cameras are installed inside homes or in private spaces (e.g., patios, hot tubs).
Guests will be notified at the time of booking and via the guest portal if a home includes any of these features. Use of these technologies complies with applicable privacy and rental laws.
8. How We Share Your Data
We do not sell your data. We may share your information under the following circumstances:
- With Property Owners: Guest data is shared with the property owner or their representatives as part of our service.
- With Third-Party Vendors: We use processors for services such as payment processing, identity verification, marketing, cloud hosting, and analytics. These providers are contractually obligated to safeguard your data.
- Legal Requirements: We may disclose data when required to comply with legal or regulatory obligations.
- Business Transactions: In the event of a merger, acquisition, or asset sale, your data may be transferred as part of that transaction.
- Fraud Prevention & Investigations: Where necessary to protect our rights or the rights of others.
9. Data Transfers Outside Your Jurisdiction
Your data may be transferred to and stored on servers located outside your state, province, or country. We ensure that such transfers are made in accordance with applicable privacy laws, including use of Standard Contractual Clauses or similar safeguards where required.

If a guest includes a minor in their reservation, we may collect the minor’s name or age strictly for occupancy verification or safety compliance. We do not use this data for marketing or profiling.
If we learn that we have unintentionally collected personal data from a child, we will delete it promptly.

We may update this Privacy Policy to reflect changes to our practices, services, or applicable laws. When we do, we will revise the “Last Updated” date and post the updated policy on our website. If the changes are material, we will provide additional notice.
